Job Type:: Part-Time (16–24 hours/week)
Location: Middle Tennessee (hybrid; consistent weekly, in-person required)
Role Overview:
The Sales Coordinator supports Tennessee Kitchen Gardens’ existing sales process by managing the systems, documentation, and coordination that move projects smoothly from inquiry to contract.
This is an operations-forward, coordinator-level role designed to support our current Sales Lead. The focus is on follow-through, organization, and clarity—not on owning sales strategy or closing responsibility at this stage.
This position is ideal for someone who enjoys creating calm behind the scenes, keeping details organized, and ensuring both clients and internal teams feel supported.
Key Responsibilities:
Sales & Client Intake Support
Guide leads through the inquiry and consultation funnel
Prepare consultation briefs for the sales/design team
Ensure timely follow-up and accurate tracking of all inquiries
CRM & Workflow Management
Manage CRM automations, workflows, assign follow-ups, and maintain pipeline hygiene
Ensure all notes, documents, and communications are properly logged
Scheduling & Coordination
Schedule client consultations with the appropriate team member based on project scope
Join select in-person consultations to assist with note-taking and next steps
Coordinate post-consultation follow-up communications
Proposal & Design Coordination
Send site photos, sketches, and notes to our illustrator
Draft client proposals using established pricing templates
Ensure contracts, payments, and approvals are completed on schedule
Project Handoff & Internal Communication
Prepare complete project packets for handoff to installation or maintenance teams
Serve as a communication bridge between sales, design, and operations
Financial Tracking & Post-Project Review
Track estimated vs. actual project costs post-installation, and assist with basic profitability reviews
Requirements
Strong organizational skills and attention to detail
Comfort working in CRMs and learning new systems (HoneyBook or similar)
Clear, professional written and verbal communication
Ability to manage multiple tasks, deadlines, and follow-ups
Proficiency with numbers, templates, and financial tracking
Ability to work independently while collaborating with a small team
Availability for part-time work (2–3 days per week), with some in-person meetings
Ideal Applicant Profile
Naturally organized and enjoys creating order behind the scenes
Calm, reliable, and proactive in following things through to completion
Comfortable interacting with clients and representing the business professionally
Enjoys supporting a sales process without needing to be the primary decision-maker
Curious, coachable, and interested in growing responsibilities over time
Preferred Qualifications
Passionate about our mission: to empower people in Middle Tennessee to grow organic food at home— helping them slow down, reconnect, and experience the magic of the garden
Background or interest in design (garden design, landscape design, interior design, architecture, or similar)
Familiarity with design documentation, sketches, or CAD workflows
Experience in a design-build, home services, or creative small business environment
Growth Opportunity
This role is designed with growth in mind. As systems stabilize and experience grows, this position may evolve into an independent sales role with closing responsibilities, increased ownership of client relationships, and expanded compensation.
